What we do
AI tools are already in most offices, whether or not anyone has approved them. For a company that holds client data, the job is using AI without risking confidentiality, privilege or your reputation.
The regulators agree on the basics. The SRA says solicitors remain accountable for their work however it was prepared, and that client information should only go into AI systems with appropriate safeguards. ICAEW says confidential information shouldn’t be loaded into public generative AI tools. The NCSC advises against including sensitive information in queries to public AI tools.
Copilot can be a real time-saver for drafting, summarising and finding things. But it works with whatever each person can already open, and in most companies that’s more than anyone realises: old shared links, “everyone” groups and sites nobody has looked at in years. Microsoft’s own guidance stresses getting those permissions right. So we start there, then roll Copilot out to the people who’ll use it.
An AI usage policy doesn’t need to be long. It needs to say which tools are approved, what must never be typed into them, and when a qualified person has to check the result. We write it with you in everyday language, and help you explain it to your team.
Not every time-saver needs AI. Power Automate, part of Microsoft 365, can take approvals, reminders and document filing off people’s desks. It’s the same practical approach as our IT consulting: find the slow, manual process and make it run itself.

Copilot works inside your Microsoft 365 permissions. Microsoft says it only surfaces organisational data that each user can already view. If files are overshared, Copilot makes them much easier to find. So we review and tidy permissions first, then switch it on, and its output still needs a person to check it.
That’s for your company to decide, and it belongs in your AI policy. The NCSC advises against putting sensitive information into public AI tools, and ICAEW and the SRA say the same about confidential client information. Most companies approve specific tools for specific tasks and keep client data out of anything that isn’t approved. We help you make that decision and write it down.
Very likely. The SRA points out that staff may use tools like ChatGPT even if the firm hasn’t adopted AI, and that firms need clear rules covering this. Writing a short policy now is easier than dealing with a data leak later.
Possibly. The ICO’s guidance says most uses of AI involving personal data are likely to need a DPIA, assessed case by case. That guidance is under review following the Data (Use and Access) Act. We’ll help you work out what applies to your company, and your data protection lead makes the final call.
No. Microsoft 365 Copilot is a separate Microsoft licence, on top of Microsoft 365 Business Premium, and it’s extra at Microsoft’s current price. We help you decide who needs it, so you don’t pay for licences nobody uses.
